New Cloud (Nextcloud): https://cloud.leibniz-zmt.de
Before you start, make sure to not edit the affected files while you are transferring them. Also make sure to only use the new Cloud after migrating your Data. If you share a folder with others, agree on when this will be migrated. If you have questions or run into problems, create a Ticket.
Before you start
We recommend logging in to the old and the new Cloud in two browser tabs, so you can easily switch between them for the next steps.
Old Cloud - What to move
Go through your own files and folders in the old Cloud and decide what you still need. It is also recommended to use this opportunity to only migrate Data that you actually need, as this saves computing resources and time.
Data shared with you by others you don't need to move, the owner should migrate it. If you depend on a shared folder, make sure to check with the owner that they are actually moving it.
Old Cloud - Shared Data
To see content shared with others select "Shared with others" in the left menu, "Shared with you" you can ignore. To review with whom a folder is being shared click on each individual folder, and select the "Sharing" tab on the right-hand panel. Under "User and Groups" it shows all Groups and individual Users the Data is being shared with, under "Public Links" any links you have created for this folder. Make sure to check for each folder who has access and with which Permissions, also any Public links and if they have a password or expiry date. Make also sure to review if the User still needs the Shared Data, this is a good moment to clean up.
Old Cloud - Data Download
Tick the checkbox next to each folder or file you want to keep, then click "Download" at the top of the list. The downloaded Data will be a single or multiple ZIP-File/s, make sure to unpack them before uploading.
New Cloud - Data Upload
After you've downloaded all files and unpacked the ZIP-File/s, you need to upload this Data into the new Cloud again. Click "+ New" at the top and select "Upload folders", this keeps your folder structure intact. Wait until the upload has finished completely, then make sure that folder size and file count match the old Cloud and that a few important files open correctly.
New Cloud - Data Shares
To re-create the Shared Data we need to manually share it with each User/Group again. Click the share icon next to the folder, this opens the "Sharing" panel on the right. Below "Internal shares" enter the name of the User or Team (Groups are called Teams in the new Cloud) and select it.
After that you get the Option to select what Permissions you want to give the selected User. By Default this is "Allow editing", highlighted in Blue, which also lets the User delete and re-share files. This can be adjusted by either selecting "View only" or "Custom permissions", although we recommend using the first two options unless you know what you are doing. Then click "Save share".
To review with whom the Data has been shared with you need to select the folder and below "Internal shares" it lists all people and Teams with access. If you initially made a mistake, giving wrong Permissions, or want to change it at a later point you need to click the Text highlighted in Blue and change it. In this example it's "Can edit", it can also be "View only" or "Custom permissions" depending on what Permission the User/Team has.
In the file list a shared folder shows "Shared" next to its name, so you can quickly see which folders are already done.
Public links need to be created again, as the old links will stop working. Make sure to set the password and expiry date again and send the new link to the recipients.
Not migrated
Version history, Trash bin, comments, tags and favourites do not move to the new Cloud. If a Group you shared with doesn't exist in the new Cloud, create a Ticket.
